Companies book catering the same way everyone else does. What changes is how the booking gets paid for: instead of a card, you receive a quotation addressed to your company, and your finance team settles it by bank transfer.
What is a business account?
A verified company profile on GatherPlate. Once it is set up, anyone booking under it can request a quotation at checkout instead of paying by card, and every document we issue carries your registered company details.
It exists because most Malaysian companies do not issue corporate cards below manager level. The person organising the event often has no way to pay on a website, and paying personally to claim back later is not a reasonable ask on a five figure order.
How do I open one?
Business accounts are opened by our team rather than through a self service form. Email [email protected] with your company name and business registration number, and tell us what you cater for and roughly how often.
We check the company and confirm that you are authorised to buy for it. If it is a fit, we open the registration form on your own account, usually within one business day.
To find it, sign in and go to your profile. On a computer, click your avatar at the top right and choose My Profile. On a phone, tap Profile in the bar at the bottom of the screen. From there, open Business Account under Account Settings.
That tab is there before we have spoken to you as well. Until your company is cleared it shows you how to get in touch rather than the form.
We work this way because a business account allows a booking to be placed before any money moves. Knowing who we are dealing with first protects the caterers on the platform, and it protects companies whose name could otherwise be used by someone who does not work there.
What details do you need to verify my company?
Four, all of them printed on your company's own documents:
- Registered company name, exactly as registered
- Business registration number (SSM, society or LLP)
- Tax identification number (TIN) from LHDN
- Registered business address
We do not ask for anything only your finance department would know. There is no SST number, no MSIC code and no company bank account to find. We capture these once instead of at every booking, and they appear on every document we issue, which is why changing them later goes through our team.
How do I book once we are verified?
Choose your caterer and package as normal. At checkout, pick Request a quotation instead of paying by card.
The caterer has 24 hours to accept the booking. Once they do, we email you the quotation. Your finance team transfers the amount by the deadline printed on it and emails us the payment slip. As soon as the funds reach us the booking is confirmed, and we email the tax invoice.
Card payments keep working throughout. A business account adds a way to pay, it does not take one away.
What is a quotation?
A numbered document setting out exactly what the booking costs, with our bank details and a payment deadline. It is not a tax invoice, and on its own it does not confirm the booking.
Your procurement team uses it to raise a purchase order and approve the payment. The tax invoice follows once the funds arrive.
Bookings paid this way carry a 1.5% transaction fee, shown on the quotation itself.
How far ahead do I need to book?
Every caterer sets a free cancellation period. A quotation is available when you book at least 3 days before that period ends, or 5 days if your company requires a purchase order. Checkout shows the exact date for the caterer you have chosen.
The payment deadline is 12:00 PM (MYT) on the last day of the free cancellation period. That leaves enough room to release the slot at no cost to anyone if the transfer does not arrive.

What happens if payment does not arrive in time?
We email a reminder the day before the deadline. If the transfer still has not reached us, the booking is cancelled automatically and the date is released. There is no cost and no penalty.
Do you support purchase orders?
Yes. If your company raises a PO before it pays, tell us while we are setting the account up and we will record it against your company. Bookings then need 5 days instead of 3, so there is time for the PO to clear your internal approvals.
Send us the PO once it is raised. We check it against the quotation and print the PO number on the invoice.
We can work with Coupa, SAP Ariba, Oracle, Jaggaer, Zycus, Ivalua, GEP SMART, Microsoft Dynamics 365, Workday and ePerolehan, or with plain email if you do not use a portal. If we need to be registered as a supplier in your system before a PO can be raised, tell us your supplier ID and we will work through it with you.
What is a delivery order?
A document listing the items and quantities being delivered, with no prices on it, for whoever receives the food to sign.
We email it at 5:00 PM (MYT) on the day before the event. Have someone sign it when the food arrives and send the signed copy back to us. It is the record that what was ordered actually turned up, and it is what your finance team matches the invoice against before releasing payment.
Do you offer credit terms?
Yes, for companies booking with us regularly. Terms are agreed case by case after a conversation with our team, so ask us once your account is verified and we will take it from there.
Credit terms run under a signed agreement with an agreed payment period. Bookings on credit terms use a purchase order and a signed delivery order, and the invoice is due the agreed number of days after we issue it.
While an invoice is overdue, new bookings go back to a quotation paid by bank transfer until it is settled.
Is there a limit on the order value?
Card payments are capped at RM30,000 per transaction by our payment gateway, which becomes a problem on larger conferences and town halls. There is no such cap on a quotation.
Can several colleagues book on the same account?
Yes. Everyone books under one verified company, so the registered details on every document stay identical no matter who placed the booking. Ask us to add a colleague once your account is verified.
What documents will I receive?
- Quotation, before payment, for raising a PO and approving the transfer
- Tax invoice, once the booking is confirmed
- Delivery order, the day before the event, to be signed on delivery
- Credit note, if a confirmed booking is later cancelled or refunded
All of these are emailed to you. On the order page you can also download the quotation, the invoice and any credit note at any time, along with your purchase order and the signed delivery order once they are in. If your accounts payable inbox should be copied on documents, tell us and we will add it, up to five addresses.
