Bento catering in the Klang Valley typically costs RM14 to RM20 per box before delivery, SST and service charges, and most caterers set a minimum of 10 to 30 boxes. GatherPlate's September 2026 price index puts the median at RM17.50 per box across 11 caterers, with the middle half between RM14.40 and RM19.92 and entry menus from RM13. For 25 boxes, that is roughly RM350 to RM500 before delivery, depending on which menu you choose.
The box price is only the start. One caterer can list bentos from RM9.50 to RM20.90, a minimum order can quietly add five or ten boxes you did not need, and delivery is usually charged by distance on top. This post shows what a box price covers, how the total changes at 15, 25 and 50 boxes, and what to check before you pay a deposit.
Prices below are advertised list prices read on 13 October 2026 from GatherPlate's own meal boxes page and package pages. They are not quotes. Totals are my own arithmetic (price per box times number of boxes) and are examples, not offers.
What a bento price actually covers
Four bento packages on GatherPlate show how different two boxes at a similar price can be. As of 13 October 2026, the meal boxes page lists these:
- Budget Bento from Oh My Bento: RM13.90 per box, minimum 25. One main dish of your choice, one vegetable and one tofu or egg dish (both picked by the kitchen), in individual packaging. The vendor is listed as non-halal.
- Standard Bento from Munch Eaters Catering: RM15.90 per box, minimum 15. One meat you choose, one seasonal vegetable, one side dish, a dessert and disposable cutlery.
- Mini Bento from Little Collins Cakery & Cafe: from RM18.00 per box, minimum 15. A box of small bakes and finger items (the example order shows a sandwich, sausage roll, curry puff and cream puff), so it suits a tea session more than a lunch.
- Bento Meal from Dateen Catering: RM18.90 per box, minimum 10. Rice or noodles with chicken, fish or a vegetarian option, with soup or vegetables of the day. The package page says 4 hours of on-site service is included.
Read that list as a warning against comparing on price alone. RM13.90 buys one main dish, a vegetable and a tofu or egg dish. RM18.00 buys a box of pastries. Neither is wrong for the right event, but they are not substitutes for each other.
Why one caterer can list a bento from RM9.50 to RM20.90
In the index data, the spread inside a single caterer is often wider than the spread between caterers. One Klang Valley caterer lists 15 different bento menus, from RM9.50 to RM20.90. Another, with a 20-box minimum on every menu, ranges from RM14.90 to RM22.90. Because both the minimum and the caterer are the same across that second ladder, the RM8 gap is purely what the menu adds: a better protein, an extra side, a dessert.
That is useful when you are setting a budget. If a quote comes in at RM22.90 for 20 boxes and you only need a decent lunch, the next question is whether a RM16.90 menu from the same kitchen would do. For a training day or a site meeting, it usually does.
The reverse also happens. A caterer's cheapest bento may suit a school event but feel thin for a client meeting. Ask to see the actual dishes, not just the price tier.
What 15, 25 and 50 boxes cost with a minimum order
A minimum order is the quietest cost in bento catering. If you need 12 boxes and the minimum is 15, you pay for 15. If you need 20 and the minimum is 25, the cheapest package is no longer the cheapest. Here is the simple arithmetic at three headcounts, using the advertised per-box prices above and ignoring delivery and SST:
- 15 boxes: Munch Eaters Standard Bento RM238.50, Little Collins Mini Bento RM270.00, Dateen Bento Meal RM283.50. Oh My Bento is not available at this size because its minimum is 25.
- 25 boxes: Oh My Bento Budget Bento RM347.50, Munch Eaters RM397.50, Little Collins RM450.00, Dateen RM472.50.
- 50 boxes: Oh My Bento RM695.00, Munch Eaters RM795.00, Little Collins RM900.00, Dateen RM945.00.
These are examples of multiplication, not quotes. The point is the gap: at 50 boxes, the cheapest and dearest of these four packages are RM250 apart, which is more than the price of an extra 14 boxes. At 15 boxes, the choice is narrower and the difference between the cheapest and the dearest is under RM50.
If your headcount sits just under a minimum, it is usually cheaper to round up to the minimum and have spare boxes than to move to a dearer package that accepts a smaller order. Compare the totals, not the per-box price.
What costs extra on top of the box price
The index figures are before delivery, service charges and SST, and the package pages are consistent about that. Delivery on the Budget Bento, Standard Bento and Mini Bento pages is calculated by distance and added at checkout, and the pages do not state the amount. Plan for it as a separate line.
Three other items catch people out. First, drinks: the Mini Bento page lists ice lemon tea at RM4.50 and a citrus passionfruit drink at RM6.00 per 150ml serving as separate add-ons, so a drink for 25 people is a real line in the budget. Second, upgrades: the Dateen Bento Meal page lists a nasi lemak rendang chicken swap at plus RM1.00 per box, which is small per box but adds RM25 across 25 boxes. Third, tax: a caterer registered for service tax adds it on top, as explained in our SST guide for catering.
When you compare quotes, ask each caterer for the same four things in writing: the box price, the minimum, the delivery fee to your address, and whether a drink is included. Then compare the final totals.
Bento box or buffet: which is cheaper for a group?
On advertised prices, boxes win by a wide margin. The September 2026 index median for a buffet is RM45 per pax against RM17.50 for a bento or meal box. At 50 people that is RM2,250 against RM875 as arithmetic on the medians, before setup, staff and delivery.
The price gap is not the whole story. A buffet needs a table line, space and someone to manage the queue. Boxes can be handed out in a corridor, eaten at desks and cleared in minutes. If you are choosing between formats rather than between bento menus, our guide on how to choose between buffet, meal boxes and food stations covers room, timing and staffing in detail.
My view: for a working lunch under about 40 people, take boxes. Above that, or when the meal is the event itself, get a buffet quote as well and compare totals.
Halal and dietary questions to settle before you order
Not every bento on GatherPlate carries the same halal status, and the status sits on the vendor, not the box. On the meal boxes page, Dateen Catering is listed as halal certified, Munch Eaters Catering and Little Collins as Muslim friendly, and Oh My Bento as non-halal. Those three labels mean different things. Only JAKIM certification makes a caterer halal certified, so if your guests need that, check the certificate yourself on the Halal Malaysia Portal and read our guide on checking a caterer's halal certificate.
For allergies, tell the caterer before you order, not on the day. The Mini Bento page asks you to flag allergies and dietary restrictions before ordering, and some boxes include a vegetable or side that the kitchen picks for you. If a guest cannot eat something, ask for it to be named in the order.
A checklist before you pay the deposit
- Count your actual headcount, then compare it with each package's minimum.
- Ask for the dishes in the box, not the tier name. One main and two sides is a different lunch from a pastry box.
- Get the delivery fee to your exact address in writing.
- Confirm whether drinks, cutlery and a dessert are included.
- Settle the halal or dietary label you need, and verify any certificate you rely on.
- Pick a delivery window that is at least 30 minutes before the meal, so boxes are not still on a trolley when guests arrive.
- Add two or three spare boxes for latecomers if your minimum allows it.
GatherPlate's own meal boxes FAQ says three days is the usual lead time. Bigger orders or busy weeks can need more, so ask early.
How we got these numbers. Index figures come from GatherPlate's Klang Valley Catering Price Index, edition 2026-09, compiled from caterers' published prices (collected 24 September 2026). Per-caterer ranges are my own median and spread calculations on the index data file. Package prices, minimum orders, inclusions, delivery wording and add-ons were read from the live GatherPlate package pages on 13 October 2026. Totals are price per box times number of boxes. Prices change, so confirm on the page before you book. Researched and drafted with AI assistance from the sources above.
Frequently asked questions
How much does a bento set cost for 20 people in Malaysia?
Using the index median of RM17.50 per box, 20 boxes is about RM350 before delivery and SST. Entry menus from RM13 would bring that near RM260, and fuller menus around RM20 would take it to RM400. Check each package's minimum first, since several start at 25.
What is the minimum order for bento catering?
On the four GatherPlate packages above, the minimum ranges from 10 boxes (Dateen) to 15 (Munch Eaters and Little Collins) to 25 (Oh My Bento). Other caterers in the index list 10, 20 or 30.
Is delivery included in the bento price?
Usually not. The Budget Bento, Standard Bento and Mini Bento pages say a distance-based delivery fee is added at checkout. The Dateen Bento Meal page also says delivery is calculated by distance, though it includes 4 hours of on-site service in the box price.
How far ahead should I book bento boxes?
GatherPlate's meal boxes page says three days is usual. For larger orders or a Friday lunch, give the caterer a week if you can.
Can I get halal bento catering in KL?
Yes, but check the label. Some vendors are listed as halal certified, others as Muslim friendly, and the labels are not interchangeable. Verify a certificate on the Halal Malaysia Portal before you tell guests an order is halal.
