Raya, Chinese New Year and Deepavali open houses break the normal rules. Guests arrive across six or eight hours rather than sitting down at once, so food has to hold, get topped up, and survive a long afternoon. Book earlier than any other occasion on this list, because every caterer in the valley is busy on the same weekends.
A month is sensible. Raya, Chinese New Year and Deepavali compress demand into a few weekends, and good vendors fill up well before the date. Two weeks is often too late in festive season.
Order for your expected total rather than the peak hour, and favour dishes that hold well over ones that need to be eaten immediately. A buffet with warmers suits this better than plated service or anything fried to order.
Vendors price per pax against a guest count you set. For an open house, count the people you expect across the whole day, not the most in the room at one time. Discuss the arrival pattern with the vendor when you book.
