Birthday party catering for 30 adults starts at about RM477 in meal boxes, RM600 for a small buffet, and another RM300 if you add gelato cups, going by GatherPlate starting prices on 17 October 2026. Those are food-only figures, before delivery, SST and any crew. The budget matters less than one question: will your guests eat at the same moment, or drift in and out over two hours? The rest of this post prices both answers for 20, 30 and 50 guests. Children's parties follow different rules on portions and timing, so they have their own guide: kids party catering in KL.
Every price here is a starting price from a GatherPlate package listing, read on 17 October 2026. No outside caterer prices are used. Totals are my own arithmetic (price per pax multiplied by guests) and leave out delivery, SST and extras unless I say otherwise.
Which format suits which kind of birthday?
Start with how the evening will run, because the format follows from that.
- Guests arrive and leave over a few hours, such as an open house at home: meal boxes. People eat when they like and nothing sits on a hot tray.
- Everyone sits down together, such as dinner in a function room: a small buffet, as long as your headcount reaches the vendor's minimum.
- A group of 10 to 12: a flat-price spread. Escobar Grill Kitchen lists a Taco Fiesta Spread at RM323 for 10 to 12 guests, which works out at about RM27 to RM32 a guest.
- A milestone birthday with a cake-cutting moment: boxes or a buffet, plus something sweet that is served on its own.
- A party built around drinks: a bar package, covered below.
The birthday party page on GatherPlate listed 17 vendors when I read it. Card prices run from RM5.80 to RM30 per pax, or flat fees from RM100 to RM950. Treat those as the cheapest single listing from each vendor, not as the price of a party. The package pages below are closer to what you will pay.
Meal boxes: the option that copes with staggered arrivals
The cheapest sensible route for a mixed-age adult crowd is one box per guest. On the meal boxes page, updated 14 October 2026, Munch Eaters lists a Standard Bento from RM15.90 per pax with a 15 pax minimum. It comes with one meat, one vegetable and disposable cutlery.
At RM15.90, that is RM318 for 20 guests, RM477 for 30 and RM795 for 50. Dateen Catering's Breakfast / Tea Box is cheaper at RM13.50 per pax (10 pax minimum, labelled halal certified on its page), but it is a breakfast box, so it suits a morning gathering better than a birthday dinner. Oh My Bento's Budget Bento is RM13.90 with a 25 pax minimum and is labelled non-halal.
One meat and one vegetable is a lunch, not a celebration. If I were ordering for a birthday, I would budget for something sweet on top rather than trade up to a dearer box.
Buffets: the minimum headcount matters more than the price
A buffet looks cheaper per head until the minimum order bites. On the buffets page, listings last updated 14 October 2026, Robin's KL has a Starter set at RM20 per pax with a minimum of 30. At 30 guests that is RM600. At 20 guests you cannot order it as listed, and paying for 30 means RM30 for each person who turns up. The page also shows no dishes or inclusions for it beyond on-site service, delivery and pickup, so ask what RM20 buys before you commit.
Munch Eaters Classic Set A is RM25 per pax with a 15 pax minimum and a listed range of 15 to 100 guests: RM500 for 20, RM750 for 30 and RM1,250 for 50. De Happiest Catering's Basic set is RM28 per pax with a 20 pax minimum, and its page says the price includes 6% SST: RM560 for 20, RM840 for 30 and RM1,400 for 50.
For context, GatherPlate's September 2026 price index, built from caterers' own websites, puts the buffet median at RM45 per pax, with the middle half between RM41.45 and RM64.90. The entry packages above sit well under that, which usually means fewer dishes, so compare menus line by line.
Gelato, dessert tables and drinks: add-on or main event?
Something sweet changes how a birthday feels, and it is the easiest line to overspend on. On the carts and booths page, listings updated 9 October 2026, Lieto Ice Cream sells Gelato Cups from RM10 per pax with a 20 guest minimum. Each guest gets a sealed 3oz cup with a spoon behind the lid, from 12 flavours. That is RM200 for 20 guests, RM300 for 30 and RM500 for 50.
The booking summary on that package page also added RM150 for table decoration setup and dismantle, so the RM200 for 20 guests became RM350. Decide if you want it, and check that it stays the same at your guest count.
Dessert tables are a different scale. The cheapest Miyou Pastery dessert table package, at RM500, is listed for 60 to 100 guests, so it is built for bigger parties than this post covers. For drinks, Chillaaa Club's Essential Package 1 starts at RM805 for 50 to 100 guests: 100 cups, two bartenders, a basic bar setup and a four-drink menu, labelled Muslim friendly. At 50 guests that is RM16.10 a guest, or RM8.05 a cup. I would only book a bar package when drinks are the point of the party.
The same three guest counts, priced side by side
Food only, before delivery and SST, using the starting prices above:
- 20 guests: boxes RM318. Small buffet RM500 (Classic Set A) or RM560 (De Happiest Basic, SST included). Gelato cups RM200, or RM350 with the listed setup. Robin's Starter is out because its minimum is 30.
- 30 guests: boxes RM477. Small buffet RM600 (Robin's Starter), RM750 (Classic Set A) or RM840 (De Happiest Basic). Gelato cups RM300, or RM450 with setup.
- 50 guests: boxes RM795. Small buffet RM1,000 (Robin's Starter), RM1,250 (Classic Set A) or RM1,400 (De Happiest Basic). Gelato cups RM500, or RM650 with setup. A drinks bar starts at RM805 on top.
Add a dessert to a main and the totals are close. At 30 guests, boxes plus gelato cups come to RM777, or about RM26 a guest. A Robin's buffet plus gelato is RM900, or RM30 a guest.
Delivery, crew and setup: the lines that move the total
The listed prices are for food. On the Munch Eaters Classic Set A page, the booking summary for 50 guests showed RM1,250 for the food plus RM100 for four hours of event crew with one server, so RM1,350 before the delivery fee. Delivery is distance-based and calculated at checkout on both the Munch Eaters and Lieto pages. Gelato setup was RM150 as above, and dry ice for the cups was RM30 per 15 cups.
SST is the other gap. GatherPlate's price index excludes delivery, service charges and SST, and only the De Happiest listing here says its price includes 6% SST. For any other package, assume tax is extra until the checkout says otherwise.
How far ahead to order, and when you can still cancel
GatherPlate's booking policy, last updated 31 May 2026, says no payment is taken when you place an order. The vendor has 24 hours to confirm, and your payment is processed only after that. If you cancel by 23:59 Malaysia time, 7 days before the event date, the policy gives a 100% refund of the amount charged, and some vendors set longer windows that show at checkout. After the cutoff there is no refund. Lead time is set by each vendor and can be as short as one day.
The policy describes cancelling an order, not trimming the guest count, so if your numbers might change, ask the vendor in writing how late you can adjust. Birthday lists tend to move in the last week, and a seven-day refund cutoff falls before most people stop saying maybe.
If it were my 30th: boxes, gelato and no buffet
Thirty adults, guests arriving between 7pm and 9pm, no one in charge of a serving table. I would order 30 Standard Bento boxes (RM477), add 30 gelato cups with the setup (RM450), and skip the buffet. That is RM927, about RM31 a guest, before delivery from two vendors. A buffet needs a table, a person to look after it and a single serving window, and none of those are free at someone's home.
If the party is a sit-down dinner for 40 or more in a hall, I would switch to a buffet with a crew line and drop the gelato until I had seen the quote. I would not pay for a drinks bar below 50 guests, and I would not book a dessert table for 30.
One caution on halal. A "Muslim friendly" label on a listing is not the same as JAKIM certification, and only a certificate makes a caterer halal certified. If Muslim guests are coming, ask for the certificate and check it on the Halal Malaysia Portal.
How we got these numbers: GatherPlate's birthday party category (17 vendors, read 17 October 2026); the meal boxes and buffets pages (listings updated 14 October 2026); the carts and booths page (9 October 2026); the live stations page (4 October 2026); the Munch Eaters Classic Set A and Lieto Gelato Cups package pages (17 October 2026); the Klang Valley Catering Price Index, edition 2026-09 (prices collected 24 September 2026); and the booking policy (last updated 31 May 2026). Totals are my own arithmetic, price per pax multiplied by guests, excluding delivery and SST unless stated. Prices are set by vendors and change. Frequently asked questions
How much does catering for a birthday party cost per person?
On GatherPlate starting prices read on 17 October 2026, boxes begin at RM15.90 a head, small buffets at RM20 to RM28, and gelato cups add RM10. A box plus gelato comes to about RM26 a head at 30 guests, before delivery and SST.
How much food should I order for a birthday party?
Order for everyone who will eat, then check the vendor's minimum, because the minimum often decides the format. For a box order I would add two or three boxes beyond the confirmed list for plus-ones.
What do birthday catering packages usually include?
On the listings above: disposable cutlery and plates, a set number of mains and sides, and sometimes a simple serving crew at extra cost. Dishes, drinks and setup are often separate lines, so read each package page before comparing prices.
Can birthday party food be delivered to my home?
Many listings offer delivery. The Munch Eaters and Lieto package pages both list delivery with a fee that depends on distance and is calculated at checkout. Check each package page for on-site, delivery or pickup options.
Do the listed prices include SST?
Mostly not. Of the packages here, only De Happiest Catering's Basic set says its price includes 6% SST. Treat tax as extra unless the package page or checkout shows otherwise.
Is Muslim friendly the same as halal certified?
No. Muslim friendly is a label a listing carries, while halal certified means a certificate. Ask the caterer for the certificate and verify it on the Halal Malaysia Portal before you tell guests the food is halal.
