How to Plan Graduation Catering Around a Ceremony That Runs Late

Order graduation catering for the time the ceremony ends plus about an hour, and count every relative, not only the two guests per graduate that some universities allow in the hall. For 25 people, GatherPlate's listed starting prices come to about RM348 for meal boxes, RM700 for a tea break and RM845 for a buffet set, before delivery and SST.

A convocation date is fixed by the university. The lunch around it is not, and that is where plans go wrong. One published schedule, the convocation notes on unimel.edu.my for its 8 December 2024 ceremony, ran a morning session from 8.00am to 12.30pm and an afternoon session from 2.00pm to 5.30pm. It asked guests to be seated 30 minutes before the start and to eat before going in. KIAS's FAQ for its 12 September 2026 ceremony allows two guests per graduate and says nobody may leave until the ceremony ends. Other universities will differ, so check yours.

GatherPlate is a Malaysian catering marketplace where individuals and businesses can discover, compare and book caterers and event food vendors online. This guide uses its listings to plan food for a family group of 15 to 40 people.

Which session are you feeding, morning or afternoon?

The session decides the food more than the guest list does. A morning session that ends at 12.30pm leads into lunch, but not at 12.30pm. Graduates return gowns, queue for photos and look for parents in the car park. If I were planning it, I would set the food for an hour after the printed finish and treat anything earlier as a bonus.

  • Morning session (ends around 12.30pm): plan lunch for about 1.30pm. Meal boxes or a small buffet both work, because people expect a proper meal.
  • Afternoon session (ends around 5.30pm): a full lunch spread is the wrong food at the wrong time. A tea break or hi-tea for 6pm, or boxes with rice that people can take home, fits better.
  • Ceremony day with two sessions for the same family: if one sibling graduates in the morning and a cousin in the afternoon, one booking at 1.30pm leaves half the group still in the hall. Split the order or pick the later time and say so.

Printed end times are a plan, not a promise. That is the reason the rest of this guide keeps coming back to flexible timing.

What 15, 25 and 40 guests cost across boxes, tea break and buffet

As of 15 October 2026, the graduation category on GatherPlate lists 15 vendors with a starting price: 13 priced per pax from RM5.80 to RM30, and two flat-rate listings at RM200 and RM950. Starting prices are not totals, so the figures below come from named packages with their own minimum order. All are per-pax starting prices before delivery and SST, and the multiplication is mine.

Meal boxes (from the meal boxes page, read 15 October 2026):

  • Oh My Bento Budget Bento, RM13.90 per pax, minimum 25: RM347.50 for 25 boxes, RM556 for 40.
  • Munch Eaters Standard Bento, RM15.90, minimum 15: RM238.50 for 15, RM397.50 for 25, RM636 for 40.
  • Dateen Catering Bento Meal, RM18.90, minimum 10: RM283.50 for 15, RM472.50 for 25, RM756 for 40.

Small buffet sets (from the buffet page, read 15 October 2026):

  • Munch Eaters Classic Set A, RM25, minimum 15: RM375 for 15, RM625 for 25, RM1,000 for 40.
  • Munch Eaters Classic Set B, RM33.80, minimum 10: RM507 for 15, RM845 for 25, RM1,352 for 40.
  • Robin's KL Starter, RM20, minimum 30: RM800 for 40, but not an option below 30.

Tea break and hi-tea (from the tea break page, read 15 October 2026):

  • Dateen Catering Tea Break Package A, RM28, minimum 25: RM700 for 25, RM1,120 for 40.
  • Robin's KL Royal Hi-Tea, RM26, minimum 30: RM1,040 for 40.

The minimums matter as much as the prices. In the September 2026 edition of the Klang Valley Catering Price Index (prices collected 24 September 2026), 7 of the 11 bento and meal box caterers state a minimum of 30 or fewer on at least one menu, and the cheapest menu from each of them runs from RM7 to RM15 per pax (median RM12, my calculation from the index data). Buffets are tighter: 6 of 13 caterers state a minimum of 30 or fewer, with entry menus from RM32 to RM59 (median RM34.25). Tea breaks are tightest: only 3 of 13 state a minimum of 30 or fewer, and those start at RM23.50 to RM28. For a family of 15, boxes are usually the only format that fits.

Delivery is not in the per-pax price. The meal boxes page says it is usually quoted separately, so compare order totals, not just the headline number.

Graduation catering when the ceremony runs late: what to settle first

Ask the caterer three things before you confirm: the delivery window (not a single minute), the latest time you can change the headcount, and what happens if you need the food an hour later than booked. The booking policy does not set out rules for changing a time or a headcount, so the answers have to come from the vendor, and I would keep them in writing.

Two rules in that policy do help. Each vendor sets a minimum notice per package, which can be as short as one day, and the booking calendar shows the earliest date. A confirmed order can be cancelled for a full refund until 23.59 Malaysia time on the date 7 days before the event. After that there is no refund, so lock the session and the guest count before that deadline and not on the morning itself.

Format changes the risk. The buffet page notes that crew need time before service to lay out and heat everything, and more time afterwards to clear and collect equipment, so agree both windows separately from the serving time. Boxes need none of that. They can be handed out to people as they arrive in ones and twos.

Meal boxes, tea break or buffet: a quick way to choose

  • Choose boxes when guests arrive at different times, when you are eating at home or outdoors with no space for a serving line, or when you have under 25 people. Boxes waste less because you order one per confirmed guest.
  • Choose a tea break or hi-tea for an afternoon session or a reception-style gathering where people stand, talk and take photos. It costs more per head and the minimums are higher.
  • Choose a buffet when everyone eats in one room at one time and someone can keep the line moving. Buffets feel more generous, but they are the least forgiving if the graduate is still in a photo queue.

Whichever you pick, count the people who will really eat. The two guests allowed into the hall are rarely the whole party. My guide to ordering for 20, 50 or 100 guests shows how to count a mixed group, and if the family also holds a prayer gathering the same day, the doa selamat and tahlil catering guide covers that menu.

What I would book

For 25 relatives after a morning ceremony, I would book meal boxes for 1.30pm, ordered to the confirmed headcount, with a headcount cut-off agreed in advance. On the starting prices above, that is roughly RM348 to RM473 before delivery. I would not pay for a hot buffet with a 12.30pm setup just because it looks more generous. If the ceremony runs over, the food waits and you pay for a service window nobody uses.

For an afternoon session I would move the food to the evening, choose a tea break only if the group is 25 or more, and otherwise order boxes with a drink. A vendor may steer you to the bigger package. That is their job, but the cheaper format is often the better fit for a day that cannot be timed.

Halal and dietary checks for a mixed family

The tea break page says each package shows whether it is halal certified, Muslim friendly or non-halal. Those are different claims. Only JAKIM certification makes a caterer halal certified, and you can verify a certificate on the Halal Malaysia Portal. If a grandparent has dietary needs, ask the vendor which dishes can be swapped, and ask before the 7 day refund deadline.

A checklist for the week before

  1. Confirm the session, the printed end time and where the family will meet afterwards.
  2. Count everyone who will eat, including relatives who did not attend the ceremony.
  3. Choose boxes, tea break or buffet using the guest count and the session.
  4. Check each package's minimum order before you compare prices.
  5. Ask the vendor for the delivery window, the headcount cut-off and their policy if timing slips.
  6. Add delivery, SST and any drinks to the total.
  7. Lock the order before the 7 day refund deadline and note the vendor's lead time.

How we got these numbers. GatherPlate figures were read on 15 October 2026 from the graduation category, meal boxes, buffet and tea break pages, and the booking policy. Index figures come from the Klang Valley Catering Price Index, edition 2026-09 (collected 24 September 2026); the minimum-order counts and medians in this post are my own calculations from its published data. Totals multiply a package's starting price by the guest count and exclude delivery and SST. Ceremony timings come from the unimel.edu.my convocation notes for 8 December 2024 and the KIAS FAQ dated 19 July 2026, and may differ at your university. Starting prices can change, so check each package page before you book. Researched and drafted with AI assistance from the sources above.

Frequently asked questions

How many people should I order graduation catering for?

Order for everyone who will eat after the ceremony, not only the guests allowed into the hall. Both documents above allow two guests per graduate in the hall, so the lunch list is usually longer than the ceremony list. With boxes, one per confirmed guest is exact.

What do graduation catering packages usually include?

It depends on the format. A bento includes a main dish and sides in individual packaging, a buffet set adds equipment and sometimes crew, and a tea break adds trays and crockery. The package page lists what is included, and delivery is priced at checkout.

How early should I book?

Each vendor sets its own minimum notice, from one day upwards, and three days is usual for meal boxes. For a convocation weekend, I would book at least a week ahead so you stay inside the 7 day full refund window if plans change.

What should a graduation catering menu look like for a mixed family?

Keep it simple: rice, one or two mains, a vegetable, and something that does not need reheating. Tell the vendor about allergies and halal needs before you pay, and avoid dishes that only taste right fresh off the stove if the timing may slip.

Can I order for fewer than 10 people?

Sometimes. Minimums vary by package: the Ravior PJ Western Buffet Spread lists a minimum of 5 on the buffet page, while most box packages start at 10 to 25. Check the minimum shown on the package page before you compare prices.
