Ice cream catering in KL and Selangor explained: cart, booth, live gelato scooping or pre-packed cups. Which one suits your event, how many cones per guest, how to avoid melting, and halal checks.

Ice cream is the one dessert nobody turns down, even after a full buffet. The tricky part is that "ice cream catering" can mean a cart, a booth, a live scooping station or pre-packed cups, and each one behaves very differently once the event starts.
The short version: for most events in KL and Selangor, the easiest setup is cones served from a caterer's cart by one or two crew. Pick a live scooping station for smaller, more polished events like weddings and brand launches. A truck only makes sense if you have room for a vehicle to park and open up.
This guide uses the two ice cream vendors listed on GatherPlate, Scoop Valet Global in Cheras and Lieto Ice Cream in Petaling Jaya, checked on 29 September 2026, plus general event planning advice. The four ways to serve ice cream at an event
Cart or booth with cones
The vendor brings a cart or freezer unit, and crew hand out pre-portioned cones. Scoop Valet Global works this way. Its ice cream package serves cones with one topping included, and you pick up to three flavours from chocolate, vanilla, strawberry, taro, mango and coffee. The package starts at 200 cones.
Best for: 100 guests or more, family days, birthdays, receptions. Watch out for: drips and queues. Ask if the cart needs a power point.
Live gelato cart
Lieto Ice Cream in Sea Park makes handcrafted gelato and runs a live gelato cart. A dedicated Lieto server scoops to order from a freezer set up at your venue, so guests watch their gelato being scooped fresh. The flavour list is long and covers gelato, sorbet and protein gelato, with local picks like coconut pandan and black sesame.
The toppings bar can include kuih muih and kek batik, which is a nice local touch at a Malaysian event. Lieto can also brand the cart with custom cup stickers, toppers and a freezer wrap, so it looks like part of your event.
It starts at three tubs of gelato, which is 90 standard scoops, so it suits events from around 90 guests. Four hours of service are included, and extra hours can be added. Lieto asks for a power outlet within reach of the freezer and a long table.
Best for: brand launches, corporate lunches, roadshows, weddings and family celebrations. Watch out for: one server scoops at a limited pace, so queues build if everyone arrives at once.
Pre-packed cups
Lieto also does pre-packaged cups for fuss-free serving, and can print your brand or wedding logo on the cups. There is no queue at a scooping counter, so guests can pick one up and keep mingling.
Best for: launches, office events, and any event where people are moving around, not standing in line.
Truck or van
A truck brings its own freezer and serving window, but it needs room to park close to the venue and open up. Tight condo and hall carparks are the usual problem. We have no ice cream truck listed on GatherPlate at the moment, so if you want one, check parking and access with the vendor first.
Which setup suits which event
- Wedding reception or cocktail hour, 100+ guests: cones from a cart. For a smaller reception, a live gelato cart. Our wedding cocktail hour guide covers the finger food side.
- Kenduri or open house, 200+ guests: cones are the easiest way to serve everyone at once. Serve them after the main meal.
- Kids birthday or family day: cones, with flavours kids like. A candy bar pairs well (more on that below).
- Corporate launch or company event: pre-packed cups with your logo, or live gelato scooping for a brand moment.
- Small home party, under 30 people: a cart package is probably too big. Ask a gelato vendor about cups instead, and message them for a custom quantity.
How many cones or cups per guest?
Start at one per guest. That is how Scoop Valet's package is built: 200 cones for 180 to 200 guests. Most event planning guides suggest 1 to 2 servings per guest, so move towards two when conditions push people to eat more. These are planning estimates, not vendor rules.
- After a full meal with cake or a dessert table: about 1 per guest.
- Ice cream is the main dessert: 1 to 1.5 per guest.
- Hot afternoon, lots of kids, or service running 3+ hours: 1.5 to 2 per guest.
For live scooping, count scoops instead. Lieto's minimum of three tubs is 90 standard scoops, so 90 guests at one scoop each. Add tubs if you expect second helpings. Ask the vendor whether extra cones or tubs can be added on the day, in case your guest count jumps.
Flavours: pick three, and make one local
A safe trio is one chocolate or vanilla, one fruity (strawberry or mango), and one local or different (taro or coffee). Scoop Valet lets you pick up to three from six. Chocolate and vanilla are the safe bulk picks, so ask whether you can split the flavours unevenly instead of in thirds.
The melt problem, and how to plan around it
- Shade: keep the cart out of direct afternoon sun.
- Timing: serve after the main food, so cones get eaten straight away.
- Cone or cup: cones drip, cups are cleaner. Scoop Valet lists an upgrade to paper cups. Put tissues and a bin nearby.
- Power: ask whether the freezer needs a plug, and where it should sit.
- DIY coolers: event guides put a well-packed cooler at roughly 2 to 4 hours for ice cream. In a Malaysian afternoon, assume the low end.
Halal and allergen checks
Ice cream can contain gelatin, alcohol-based flavourings or other ingredients worth checking. Scoop Valet and Lieto describe themselves as Muslim friendly on GatherPlate. That is the vendor's own declaration, not a halal certificate. If certification matters to your guests, ask which ice cream brand and ingredients they use, and ask to see the certificate. - Cone or cup, and whether cups can carry a logo. Lieto offers custom cup stickers, toppers and a freezer wrap.
- Delivery area. Scoop Valet lists KL, PJ, Subang Jaya, Puchong, Cheras, Ampang and Kajang. Lieto lists Petaling Jaya and Selangor.
